Information We Collect

Personal Information

We collect the following personal information when you:

• Create an account: Name (encrypted at rest), email address, password, optional location (city, state, ZIP code), time zone, profile photo
• Complete your provider profile: Business name, service types offered, business description, certifications, service area, contact information, profile photos, social media links
• Claim a business: Business email for verification, verification documents (business license, tax ID, utility bills, incorporation documents), ownership verification data
• Submit business listings: Business information for unclaimed directory listings you create
• Book services: Service preferences, motorcycle information, booking notes, preferred times
• Add motorcycles to your garage: Year, make, model, VIN (optional), photos, odometer readings, service records and costs, accessories, registration and inspection renewal dates, and service invoices you upload
• List a motorcycle for sale: Listing details including year, make, model, condition, mileage, price, location, photos, and optional VIN; active listings are publicly visible
• Subscribe to Garage Plus: Subscription status and billing identifiers; your payment card details are collected and stored by Stripe, our payment processor, not by us
• Message other users: Message content and conversation history within bookings, marketplace listings, and provider conversations
• Leave reviews: Star ratings, review text, booking association
• Report listings: Report reason, description, reporter information
• Contact support: Name, email, subject and description, plus the page URL and browser information you submit with the request
• Marketing: Email preferences

Data Encryption: Your first and last name are encrypted at rest. Passwords are stored only as one-way hashes. Payment card details are never stored on our servers.

Usage Information

We automatically collect information about how you use our service:

• Log data: IP address, browser type and user agent, operating system, request timestamps, sign-in IP addresses
• Device information: Device type, unique device identifiers, mobile operating system
• Push notification tokens: Device tokens for iOS/Android push notifications (if you enable notifications)
• Usage patterns: Pages visited and time spent on them, business listings clicked and the referring page, features used, search queries, filters applied; these records include your IP address and user agent and are collected on the web and in our mobile app
• Location data: Approximate location derived from your IP address (to suggest nearby businesses), service areas, geocoded addresses (latitude/longitude), and precise device location only if you grant your browser or device permission
• Transaction history: Bookings, booking status changes, cancellations, completions, and Garage Plus subscription events
• QR code visits: QR code scan tracking for marketing analytics (IP address, user agent, referrer)

Verification Documents

If you claim a business listing, we collect verification documents to confirm ownership:

• Business licenses
• Tax identification documents
• Utility bills showing business address
• Incorporation or registration documents
• Other ownership verification materials

These documents are stored securely, reviewed by administrators, and used solely for verification purposes. They are deleted upon request after verification is complete.

How We Use Your Information

We use your information to:

• Facilitate the marketplace: Connect service providers with customers, enable communication, coordinate bookings
• Process transactions: Handle bookings, facilitate connections between customers and providers, and bill Garage Plus subscriptions through Stripe
• Business verification: Review claim requests, verify business ownership through documents and email verification, approve/reject provider applications
• Content moderation: Review unclaimed business listings, approve/reject reviews, handle listing reports, maintain quality standards
• Garage features: Look up safety recalls for your motorcycles using vehicle details you provide, calculate maintenance and renewal reminders, and extract service details from invoices you upload using AI
• Notifications: Send in-app notifications, push notifications (iOS/Android), and email notifications about bookings, messages, reviews, and account updates
• Customer support: Respond to inquiries, resolve disputes, provide assistance with bookings
• Service recommendations: Generate personalized provider suggestions based on your location, service preferences, and booking history
• Platform improvement: Analyze usage patterns, track QR code effectiveness, monitor feature adoption, optimize user experience
• Security and fraud prevention: Monitor for suspicious activity, prevent duplicate accounts, protect against fraudulent bookings
• Marketing: Send email campaigns (if opted in) and measure campaign effectiveness
• Legal compliance: Fulfill legal obligations, respond to lawful requests, enforce Terms of Service, resolve disputes
• Background jobs: Process webhook events from our payment processor (Stripe), send scheduled emails, deliver push notifications

Information Sharing

We do not sell your personal information for money. We share your information only in the following circumstances:

• Between Users: Limited information shared between providers and customers to facilitate bookings:
  • Provider information visible to customers: Business name, service types, description, ratings, reviews, location, certifications, profile photo, refund policy
  • Customer information visible to providers: First name, last initial, profile photo, motorcycle details, booking notes
  • Creator information on unclaimed listings: First name of the customer who submitted the listing
• Service Providers: We share data with third parties who help operate our platform:
  • Stripe (Garage Plus subscription payments: your email, billing details, and payment card)
  • Brevo (transactional and marketing email delivery)
  • Anthropic and OpenAI (AI processing of service invoices you upload, to extract dates, mileage, costs, and line items)
  • Amazon Web Services (storage of uploaded photos and documents, and encrypted backups)
  • Google Maps and Google Places (address geocoding and location services)
  • Google Analytics and Google Ads (website analytics and advertising measurement; see Cookies and Tracking below)
  • ipinfo.io (approximate location lookup from your IP address)
  • NHTSA, the federal vehicle-safety agency (receives the VIN or vehicle details you provide in order to look up recalls)
  • Apple and Google push notification services (device tokens and notification content)
  • Cloudflare (network security and content delivery)
• Legal Requirements: When required by law, legal process, or to protect our rights, safety, and the safety of users
• Business Transfers: In connection with a merger, acquisition, or sale of assets (you will be notified via email and/or prominent notice)
• Consent: When you explicitly consent to sharing your information with specific third parties
• Public Information: Information you choose to make public (reviews, ratings, business listings, marketplace listings) is accessible to all users and may be indexed by search engines

Data Security

We implement appropriate security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

• Encryption of sensitive data in transit and at rest
• Regular security assessments and updates
• Access controls and authentication procedures
• Secure hosting infrastructure

However, no method of transmission over the internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Cookies and Tracking

We use cookies and similar technologies to operate the platform and understand how it is used:

• Essential cookies: An encrypted session cookie keeps you signed in, and a remember-me cookie is set if you choose "remember me"
• Google Analytics and Google Ads: On the web, we load Google Analytics and Google Ads conversion tracking, which set Google cookies and receive information about your visit; this may be considered "sharing" for advertising purposes under some state privacy laws
• First-party analytics: We record page views (with time on page), business listing clicks, and QR code scans on our own servers, along with your IP address and user agent; these records are not sent to advertising companies

You can opt out of Google Analytics and Google Ads tracking on our Do Not Sell My Personal Information page. The opt-out disables Google scripts but does not stop our first-party server-side analytics. You can also control cookies through your browser preferences, though this may limit some functionality.

Data Retention

We retain your personal information only as long as necessary to fulfill the purposes outlined in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention practices:

• Account data: Retained while your account is active and deleted when we process your deletion request, subject to the exceptions below
• Booking records: Retained for up to 7 years for business compliance and tax purposes
• Payment information: Card details are never stored on our servers (they are held by Stripe, our payment processor); subscription and transaction records are retained for up to 7 years
• Verification documents: Retained until verification is complete, then deleted upon request
• Reviews and ratings: Retained to maintain platform integrity
• Messages: Retained while the related booking, listing conversation, or account exists
• Analytics records (page views, listing clicks, QR scans): Retained for internal analytics until no longer needed for analysis

When we no longer need your information, we securely delete it. You may request deletion of your data at any time (subject to legal retention requirements).

California Privacy Rights (CCPA)

California residents have specific rights under the California Consumer Privacy Act (CCPA), including the right to opt out of the sale or sharing of personal information. We do not sell personal information for money, but our use of Google Analytics and Google Ads may be considered "sharing" for advertising purposes under California law.

RideMentor is not intended for use by children under the age of 18. Users must be at least 18 years old to create an account, book services, or provide services on our platform.
